Tips and Tricks for Presentations

Electronic presentations are a fun and easy way to get your point across to a group of people. However, sometimes we just don't have the creativity or the professional design techniques that we want to make our presentations really sing.

Below are some tips and tricks collected from various publications and regular users of electronic presentation software. For more tips, try a free subscription to Presentations Magazine.

  • Make sure to keep regular backups of your work! Sitting up all night re-doing the presentation you have to give tomorrow isn't exactly the best way to prepare for your "big break". You may also consider saving different versions of your presentation, if you aren't sure which changes you will want to keep in the end.

  • Always remember your audience! If you are presenting to a tech conference, the audience probably won't want to see pink flowery backgrounds on your slides. Try to put yourself in their shoes and design the "look" of your slides accordingly.

  • Branding Works! If you want your viewers to remeber your company name, put your logo on every slide, by setting up the "Slide Master" page before you start designing your presentation. That way you won't have to add the logo to each individual page, but viewers will be "branded" by your company logo.

  • Upgrade to PowerPoint 2002, or at least to PowerPoint 2000. These newer versions have upgraded animation tools, smaller file sizes and faster loading and saving. You also have the ability to add hyperlinks and background images!

    Reducing PowerPoint Graphics File Size
    If you have been a PowerPoint user for quite some time, you probably know just how big some of these presentation files can be.

    PowerPoint 2002 builds on the compression strategies of previous versions and enables you to REALLY reduce file size by reducing the size of graphics. Instead of compressing images individually and manually, PowerPoint 2002 allows you to compress all of the pictures contained in a presentation.

    • To reduce PowerPoint graphics file size (with PPT version 2002)
    • Open the desired PowerPoint presentation in PowerPoint 2002.
    • Enable the Picture toolbar by selecting View > Toolbars > Picture.
    • On the Picture toolbar, click Compress Pictures.
    • To compress all images in the PowerPoint presentation, click All pictures in document.
    • Under Change resolution, select how you intend to use your presentation by clicking either Web/Screen or Print.
    • To further reduce file size, select the Delete cropped areas of pictures check box.
      Click OK.
    • NOTE: If you compress pictures or delete the cropped areas of pictures, you cannot restore the pictures to their original resolution or size.
